Photograph safely
Take an overview and a closer image of the affected component from a safe position. Avoid exposed wiring, damaged roofs, broken glass and other hazards. Include model labels only when safely accessible.
Plan access before the visit
Identify who can meet the service professional, which entrances are available, and whether the building requires an elevator booking, escort or site induction.
Keep maintenance records together
For commercial properties, attach the site reference, affected asset and any purchase order requirement. Record agreed work and available photos with the property’s maintenance history.
